Privacy Policy

This privacy statement sets out our policies and describes the information we collect about our customers, suppliers, partners, and visitors to our websites and social media, how and why we collect and use the information, and how we safeguard our customers’ rights and comply with privacy legislation.

Collection, storage, compilation, disclosure, and other processing of personal data are regulated by the Personal Data Act. The law imposes strict requirements for confidentiality and security in the processing of personal data. The Norwegian Data Protection Authority supervises compliance with the law. “Personal data” are information and assessments that can be linked to an individual, such as name, residential address, and email address. As a customer, you can trust that we protect your privacy and are transparent about how we process your personal data.

Responsible Entity

Scanmatic AS, with organization number 920 353 908, is responsible for the company’s processing of personal data. In the law, “data controller” refers to the entity that determines the purpose of processing personal data and the means used. The data controller is responsible for ensuring that the processing of personal data complies with the law.

Types of Personal Data

We only collect and store data that you voluntarily provide to us, for example, through the purchase and sale of products and solutions, visits to fairs, participation in events, or other inquiries related to our activities.

The information we collect and store is only related to your professional role and involves company information, and your contact information such as name, department, title, phone number, and email addresses.

Information is stored in SuperOffice, the company’s CRM system.

In addition, relevant email or written communication received from you is stored.

In the case of purchases and trading, information will also be linked to our ERP system (Visma Business), where contact information is linked to orders, goods, and invoice information. Visma Business also runs on local servers.

Purpose

The information stored is only used to manage your professional customer relationship. This includes correspondence in a sales phase, handling of purchases and sales including goods deliveries and billing, and sending out professional and useful information about the company and relevant products and solutions.

Retention

We only store personal data as long as necessary for the purposes described above or to fulfill specific legal requirements. This means that the storage time for different types of information can vary. The Accounting Act requires that invoice information be stored for at least 5 years. We need to store contact information as long as you are our customer (and a certain period after this, among other things, to provide you with the best possible service if you choose to return to us), while for other types of information (e.g., emails) we may have a shorter storage need.

Disclosure of Information

Companies in the Scanmatic group are both suppliers, customers, and partners to parts of our business and our services. Relevant information is therefore shared for the same purposes as described above.

Also, certain third parties perform services on our behalf. Such third parties are given access to relevant information for the same purposes as described above.

We enter into written agreements with third parties with whom we share information and set clear requirements to comply with current privacy legislation, including requirements for information security.

To the extent required by law or court decision or necessary for the investigation of possible crimes against our business, relevant information may be disclosed to public authorities or other entitled parties.

Protecting Information

We work systematically and deliberately to maintain information security. We have implemented necessary technical, organizational, and physical measures against unauthorized access and use.

In the event of any reorganization, restructuring, merger, sale, or other transfer of assets, we transfer information, including personal data, provided that the recipient agrees to respect your personal data in a manner consistent with our privacy statement.

Cookies and Tracking Pixels

When you visit our websites, we automatically register cookies, tracking pixels, and IP addresses.

Cookies are small data files stored on your device when you browse and use websites and services on the internet. A tracking pixel (pixel tag) is an invisible marker placed on some web pages.

We use cookies to measure traffic on our websites and get information about which parts of our website are most visited at what times, how visitors navigate the site, and the duration of visits. The main purpose of this is to ensure and improve the performance and functionality of the website.

Links to Websites and Services

Our websites may contain links to others. Scanmatic AS is not responsible for such external websites.

Scanmatic is on social media (Facebook, LinkedIn), but there is no connection between activity on these and the registration of personal data.

Insight and Deletion

You have the right to receive information about which personal data we process and what we use them for.

It is important that the information we have about you is correct. You have the right to have your personal data corrected if they are wrong or inaccurate.

You have the right to have your personal data deleted. We delete your personal data when they are no longer necessary for the purpose they were collected for, and we no longer need them to comply with a legal obligation.
